Division Assistant, Retail & Country Management 50% (m/f)

Assist and support the management members of division Retail & Expansion in daily and weekly tasks. Establish priorities on bi-weekly basis with direct superior.


Responsible for the following Tasks:

General & Administration

  • Correspondence with N/Os and business partners in German, English independently or on instruction
  • Manage division post, signature process etc.
  • Administrates and organises the managers work programmes on demand
  • Expense reports of division managers (CRO, GM, GSD)
  • Division invoicing management (phone, credit card etc.)
  • Preparation of internal meetings
  • Preparation of external meetings on instruction
  • Establishing and maintaining general presentations
  • Invoicing of costs to third parties
  • Meeting invitations, minutes, translations
  • Filing and maintain network structure
  • INTERSPORT Portal user administration
  • INTERSPORT Portal content management
  • Frontify user administration
  • Coordinate new staff introduction

Coordinates IT equipment and Intro for division members

  • Office set up, equipment, other tools
  • Coordinate new staff introduction
  • Train and share knowledge about latest IT implementation with division

Travel bookings

  • Flight & car bookings
  • Hotel organisation
  • Special events support
  • Control and usage of Qualifier Miles
  • Credit Card billing
  • Maintain division travel and team information up-to-date 

Supports in Organizing Various External Meetings

  • Flight & car bookings
  • Event support: GtM, Retail Manager, Task Force, ISPO
  • In rare case, Jobholder may be asked to travel


  • Coordinate various annual reporting incl. Retail Clustering, category data, CSR, EBLA etc.
  • Assists with the data collection, including updates, evaluation and benchmark slides (international and national)
  • Maintain country overview with KPI including competitors
  • Maintain sales reporting of new store concept
  • Assist in the implementation of DEP/B24/mystore
  • Assists with analysing reports & benchmarking
  • Format improvements



  • 3-5 years in similar position
  • Excellent verbal and written communication skills in English, German is a plus
  • Excellent organization skills and great attention to detail
  • Reliable and professional attitude
  • Advanced skills in Microsoft Office more specifically in Excel and Power point.
